Announcing a reorganisation to 600 employees without a town hall

A two-minute internal video explaining a new organisation at a SaaS vendor serving the pharmaceutical industry, approved by leadership and delivered in 21 days.

Context

A B2B SaaS vendor serving pharmaceutical labs is merging two product departments and creating a new market-based organisation. Six hundred employees across four sites need to understand the new structure, what changes for them and why, on the same day, with no town hall possible.

Corporate constraint

The topic is sensitive: some scopes move, some managers change. Leadership wants to approve every word and refuses to put anyone on camera. HR requires an understated tone, with no promises. The deadline is set by the announcement date, non-negotiable, three weeks out.

What we did

A one-hour scoping session with leadership, HR and internal communication to fix who approves what, in which order, with dates. A 110-second script written for an employee discovering the topic, not for the committee that decided it. An understated storyboard in the company's brand guidelines, showing the organisation before and after without jargon. Animation, voice-over, subtitles for viewing without sound in open spaces, and a vertical export for field teams.

Result

The internal video went out on the intranet and the screens of all four sites on the morning of the announcement, followed by a written FAQ. Everyone received the same message. Leadership approved the script in two days thanks to the review circuit fixed at scoping, and the film was delivered in 21 days.
